​ ​​​​​​​​​​​​​​​​​​​G​oToConnect Phone System​​​ ​​​What is GoToConnect? ​GoToConnect is a Voice Over Internet Protocol (VOIP) system that allows you to combine GoTo Connect's phone system with web, audio, and video conferencing into one simple solution. You can use the VOIP system on your desktop, mobile phone or via the web. You have been provided with a Yealink T53W phone set for the office. You may choose to use the phone set to make and receive calls, forward calls, transfer calls, and check your voicemails. You may also do the same things via the GoToConnect app on your desktop, mobile phone or web portal. You can use all four options or just one. The choice is yours. As long as you have an internet connection and you are signed into the app on your chosen device (computer with a mic or mobile phone), then you can make or take calls as normal whenever and from wherever in the city or world you happen to be. As far as the client is concerned, you are calling from the office. Follow the steps below to get started. It should only take a few minutes. Getting Started Using GoToConnect Using Clio Integration Use Virtual Fax Useful Links ​​Getting Started​ ​Step 1: Create Your Account ​ ​In order to use GoToConnect, you must have an active account. Go to http://onjive.com/register. Complete the registration form making sure your Business Email Address matches the Email your system admin added to the system beforehand. If there is a mismatch, you will not be able to log in. Click Register. Step 2: ​​Set Up Your Apps & Phone ​​​​​ Use GoToConnect web (web access) or download the GoToConnect app on your mobile phone and/or desktop. Set up your desk phone: Plug in your phone. See your phone guide for more specific tasks. ​Supported Browsers: Windows 8.1 or higher Last 2 versions of Google Chrome. Last 2 versions of Firefox. ​Step 3: Sign In To Your ​​​Account Sign In With Your Email Address and Password Log in at https://app.goto.com or open the GoToConnect app. Enter the email address for GoToConnect and then click Next. If desired, check the box to enable the "Keep me signed in" option. Enter your account password and then click Sign in. If prompted, verify your login. Note: If you are having trouble signing in, check out troubleshooting steps. Step 4: Set Up Your Preferences​ ​ Select Your Line - Required ​​​If you​​ have multiple lin​​es, choose the line and phone to make and receive calls. This selection does not affect how you send or receive SMS/chat messages. GoToConnect Desktop & Web: Click the home icon in the left sidebar. Click the line selector dropdown in the bottom-left. Choose your preferred line and phone to use for all calls. GoToConnect Mobile: Watch Video Tap the home icon. Tap your name at the top of the screen. Tap Extension and then choose your line. Set Up Email Notifications and Other Voicemail Options Set up your voi​​cemail box with custom greetings, email notifications, retrieval options, and more. Log in to GoToConnect desktop or web. Click your profile picture in the left sidebar and then choose Settings. From Voicemail, check Enable voicemail-to-email notifications and then enter the email address to receive new message notifications. Note: Email communications will be sent from jivecommunications.com, jive.com or goto.com. Please ensure these domains are allowed so that emails are not automatically filtered as spam. No​​te: You can only send notifications to a single email address. To deliver notifications to a group, use an email alias (e.g., sales@guthrie.com) or create an auto-forward rule in your email client. 4. Turn on Email voicemail recordings and then choose the format: .wav49 Smaller file size (default, recommended). .wav Larger file size, better compatibility with mobile devices. 5. Turn on Delete messages after emailing voicemail. Note: Deletion is permanent (we cannot retrieve deleted messages) and will prevent voicemail management from a phone, GoToConnect, and our mobile app. 6. Turn on Allow message review to give your callers the option to press # to listen to their message and optionally re-record it. Note: There is no prompt for callers to press # after recording their voicemail. Make sure to include these instructions in the voicemail greeting. 7. Turn on Escape to operator and then choose an extension to allow your callers to press 0 to be transferred, rather than leaving a message. 8. Click Change password to change your voicemail password. The default password is 0000. Your password must be at least four digits. Set Up Find Me Follow Me (optional) Customize your line with a personalized dial plan (Find Me/Follow Me) that routes incoming calls however you want. Add multiple ring steps and redirect callers to various destinations like your cell phone or a colleague's extension. About this task: Incoming calls are routed through your Find Me/Follow Me settings when your line is directly dialed, a call is transferred to your line, or your line is used in a Line & Voicemail node. However, these settings are overridden on a per-call basis when your line is used in a Simple Dial node or another user’s Find Me/Follow Me ring step.​ For instructions on how to set this up, go here: https://support.goto.com/connect/help/how-do-i-set-up-my-find-me-follow-me​​ Change Your Lines and Buttons On Your Phone From GoToConnect (optional) Most phones have one or more buttons (or sidecars) that you can customize to perform specific functions, like speed dial. Customize these settings in GoToConnect to allow you to personalize your buttons as needed. Before you begin: In order to customize your phone's lines and buttons from GoToConnect, a system admin must enable Allow user to change all Speed Dial buttons in GoToConnect ( Devices > User's device > Button Configuration) from the admin portal. Log in at https://app.goto.com or open the GoToConnect app. Click the settings gear in the bottom left sidebar and then choose Settings. From Devices > Button configuration, click Add Button or edit an existing button. Choose the desired button Type: Go here for details: Care: GoToConnect Getting Started Guide for Users - GoToConnect Support ​Make GoToConnect Your Default App for Outgoing Calls (optional) ​​ If you would like to make GoTo Connect your default app for outgoing calls on your desktop or mobile phone, click here for further instructions: https://support.goto.com/connect/user-guide/getting-started-users​ Allow Camera and Mic Access Google Chrome​ Go to https://app.goto.com. Click the security status icon to the left of the web address. Choose Allow for your camera and microphone. Mac Go to Apple Menu > System Preferences > Security & Privacy > Privacy tab. Unlock (click) the lock icon in the lower-left to allow you to make changes to your preferences. Click Camera in the left sidebar and then select the checkbox next to an app (GoTo) that needs camera access. Click Microphone in the left sidebar and then select the checkbox next to an app (GoTo) that needs mic access. Windows Go to Start menu > Settings > Privacy. Click Camera in the left sidebar and then turn on access for the app (GoTo) that needs camera access. If this option is grayed out, make sure Let apps use my camera hardware is turned on. Click Microphone in the left sidebar and then turn on access for the app that needs to use the mic. If this option is grayed out, make sure Let apps use my microphone is turned on. Change Your Ringtone and Message T​​​one Customize your sound alerts for incoming calls and messages in GoToConnect (not available for mobile phones at this time). Note: Custom ringtones for specific lines or contacts are not available at the present time. GoToConnect Desktop & Web Click the settings icon in the left sidebar and then choose Settings. From Audio > Sounds, choose Ringtone and Message tone. Sync Your Calendar Sync your Office 365 or Google calendar with GoToConnect (not available for mobile phones at this time). GoToConnect Desktop & Web Click the settings icon in the bottom left sidebar and then click Settings. Click Calendar. Click Connect next to the calendar you'd like to sync and then follow the instructions. Change Your Audio Input and Output Log in at https://app.goto.com. Click the settings icon in the bottom left sidebar and then choose Settings. From Audio > Input and output, choose the Microphone and Speaker you'd like to use.​ Use GoToConnect D​esk Phones For desk phones, see your phone guide for more specific tasks.​ Check Your Voicemail A single voicemail box holds up to 99 messages. Once it is full, callers will be unable to leave new voicemail messages. If you have Delete Message After Sending enabled in your voicemail notification settings, your voicemails will be permanently deleted (we cannot retrieve them) once they are emailed. GoToConnect Desktop & Web Click the voicemail icon in the left sidebar. Hover over a voicemail message for options. GoToConnect Mobile Watch Video Tap the home icon. Tap Voicemails. Tap the play icon to listen to a voicemail. Tap a voicemail entry for additional entries. Personal Desk Phone Watch Video See your phone guide to learn where to find voicemail on your phone. Dial *99 from your phone or press the Messages key. If there are multiple lines assigned to the device, select the desired line before completeting these steps. Dial your password (default 0000). Schedule a meeting Start or join a meeting Record your meeting Add a password to your meeting Lock your meeting Share your screen in a meeting Use notes and smart notes in a meeting Manage your meeting content​​ Use Clio Integrations Click on the following link for instructions on downloading and the Clio integration app, which will allow you to use Clio's calling and tracking functionalities with the GoTo Connect system: https://support.goto.com/connect/help/how-do-i-integrate-with-clio.​ Use Virtual Fax Receiving faxes: All faxes will now be received virtually via email to the office@orrislawcorp.com, where it will emailed to the relevant party. Sending faxes: Send documents via virtual fax using your email. Follow the instructions below. If you have a hard copy to fax, you will first need to scan the document and then email it as below. ​ How do I send a virtual fax? Send faxes through email, removing the need to have a physical fax machine and allowing you to fax on the go. Not available in Brazil and Mexico. From your email account, compose a new message. Enter faxNumber@glenorrislawcorp.fax.onjive.com in the To: field. Replace faxNumber with the external 10 digit fax phone number, without the 1 or any dashes (e.g., 8012321987). You cannot send a virtual fax to an internal extension or a number that requires an extension (e.g., 8012321987 ext 1121).​ You can only send virtual faxes to one recipient. For example, if the recipient's fax number is 604-123-4567, you would enter in the To: field of your email 6041234567@glenorrislawcorp.fax.onjive.com Enter the virtual fax machine’s access code in the Subject: field at the beginning of your subject description followed by the custom subject description. Make sure to enter a space after the access code and then include the subject (e.g., 294034210 March Invoice). The access code is: 160796180 ​​​​For example, if the subject description is "Re: Matter # XYZ", you would enter in the Subject: line of your email 160796180 Re: Matter # XYZ 5. Remove all text from the body of the email, including email signatures. 6. Attach file(s) to the email. If including a cover sheet, attach that first. 7. Click Send If the fax was delivered successfully, you may or may not receive an email confirmation as this functionally must be enabled by your system admin. Emails are always sent in the case of transmission failures. Email communications will be sent from jivecommunications.com, jive.com or goto.com.
